INTRODUCTION TO CLUB TERMS & CONDITIONS

First of all, thank you for your interest in our Gymnastics Club. As part of our membership process, there are a number of items that we need to clarify for our members which will guide you through initial contact, registration, membership conditions, how we conduct ourselves within the club, how we take payment and any other items that are useful to know.

Initial Contact & Registration.

We hope that you will see our club is a bright, fun and stimulating place to be for our young gymnastic stars. It is of paramount importance that we also ensure it is safe and secure for when you leave your child with us.

We carry out health and safety assessments across our full delivery and we also make sure that our staff are suitably vetted and trained in ensuring you can feel confident with the trust needed to look after your child.

On your initial visit, we will show you the facility and give you all the information you need on what our classes include, how we make it fun but also how we are looking to progress you child within this sport. Within this process, we will ask you to complete a registration form which gives us all the information we need on your child, emergency contacts, any medical conditions we need to be aware of and also we ask for a number of ‘permissions’ in order for us to ensure we can safeguard, develop and challenge your child safely and with your confidence.

We also confirm a number of points, just so that we all know what’s expected of us, our rules and how we take payments for membership.

We ask that you complete this form as fully as possible as every question is there for a reason and will help us all as we move forward.

CODE OF CONDUCT

For Parents / Guardians

It is really important that we set out guidance as to how we feel our club can function in a way that will ensure your child enjoys their time with us, develops as a gymnast and also learns how to be a good club member.

Below are a number of examples of how we like to conduct ourselves within the club –

  • We discourage challenging / arguing with officials. Publicly accept officials’ judgments (even if we think they’re wrong!)
  • We ask that you help and encourage your child to recognise good performance, not just results.
  • We always look to set a good example by recognising good sportsmanship and applauding the good performances of all.
  • We’ll never force your child to take part in sport.
  • We ask that you always ensure your child is dressed appropriately for the activity and has plenty to drink.
  • Please keep the club informed if your child is ill or unable to attend sessions.
  • Endeavour to establish good communications with the club, coaches and officials for the benefit of all.
  • Share any concerns or complaints about any aspect of the club through the approved channels.
  • Use correct and proper language at all times.
  • Never punish or belittle a child for poor performance or making mistakes.
  • Deliver your child into the gym and stay with your child until start of the lesson. Always collect your child promptly at the end of a session by coming into the gym (unless otherwise directed)
  • Support your child’s involvement and help them to enjoy their sport.
  • Never show abusive or threatening behaviour towards any Grimsby & District School of Gymnastics (GSG) member or guest. This will result in the permanent exclusion from the gymnastics centre.
  • Follow all guidelines laid down by British Gymnastics.

Payment of Fees

We try to approach the payment of fees in as simple a way as possible. We break them down into the following processes –

Initial Visits – Will your child enjoy our club and will they want to keep coming?

Of course we understand that you and your child need to come and visit us so that you can get a feel of how we are as a club, also if your child would enjoy our particular sport. We also understand that your child may need to try a number of sessions before you make that jump into a full monthly paid membership.

So that we can have that introductory period, we allow the visits within the initial calendar month to be on a ‘pay as you go’ basis. These sessions are generally £6 per hour and we can take payment by cash, card or bank transfer.

Once we get towards the end of the month,  and if you wish to continue your training, we then move onto confirming membership which we then take by Direct Debit.

The easiest way to explain this is that if you’re first visits are in the month of January for example, we would look for membership to start on 1st February and so on.

Membership Confirmation.

If you and your child are happy to continue into this next phase, we will examine our timetables and agree individual sessions throughout the week. Once we are all happy with this, we will then include your child within the registers for those sessions, and that’s it! Their place is booked.

We have a number of membership options which are based on the number of hours per week your child comes to us. We then calculate our monthly fees over a 46 week period which allows for closure during holidays etc. These options are as follows –

Our payment method for membership is by Direct Debit. This is the simplest and most secure way in which regular payments can be made. Once you’re happy with everything, our Direct Debit partner (Go Cardless) will email you with a secure process to set up the payment plan, and once you follow the simple steps, they will let us know. Simple and easy!

If there is a significant reason why you cannot pay by Direct Debit, please don’t let this put you off. Simply get in touch with us and let us know. We’re here to help and will do all we can to make sure we remove any issues.

We arrange all fees to be paid on the 1st of every calendar month and this is an advance payment for the coming month. In the event of a missed payment, we will gently remind you, as something may just have gone wrong. If however, we still haven’t received payment by the 14th of the month, we may have to look at cancelling the membership and pass your place to the next child on the waiting list. If you have any issues that we can help with, we would encourage you to let us know as soon as possible.

Monthly membership payments are also non refundable in the event of non attendance. We hope you can understand that once a place in a class is booked, if a child does not attend, we still have our costs to cover in that class. We would always however, ask that you give as much notice as possible of any missed sessions. As always we will look to see if we can help but ultimately we sometimes have to put these less pleasant conditions in place to ensure the club can continue running.

Annual Membership Fee

As an organisation we charge an annual membership fee. This is only £24 per year and helps us with all our associated running costs involved in running a gymnastics club. Our annual year runs from January to December, so in January we will let you know the annual payment is due (and payment should be received no later than 31st, which gives a little time to recover from Christmas!). If you join part way through the year, we will make charge only a pro rata amount for the remainder at £2 per month. An example of this being that if you join in August, we will only charge £10 as that would be 5 months until the new membership year.

Insurance Costs

One cost we cannot avoid is British Gymnastics insurance. This is a mandatory part of being a gymnastics member and the payments are to be made directly to them, although we will help you with making the payment if you have any problems. This does vary dependent on gymnast class so please ask any of our team who will be pleased to provide the information. Their insurance year runs from 1st October to 30th September so please be aware of this.
